Privacy Policy

How we collect, use, store, and protect your personal information. We follow the Australian Privacy Principles set out in the Privacy Act 1988 (Cth), and we apply equivalent care to visitors from the EU/UK and elsewhere.

Who we are

This site is operated by Incendio Solutions Pty Ltd, an engineering studio based in Sydney, Australia. References to "we", "us", or "our" mean Incendio Solutions Pty Ltd. References to "you" mean any visitor to this website or person who contacts us through it.

What we collect

We only collect personal information that you voluntarily provide. Specifically:

  • Contact form submissions: name, work email, optional company name, the service you've expressed interest in, and the project brief you write.
  • Direct emails: any information you include when you email contact@incendiosol.com.
  • Server logs: our hosting provider may automatically log standard request metadata (IP address, browser user-agent, request time, page requested) for security and abuse-prevention purposes. We do not link this to your identity.

We do not use analytics, advertising trackers, behavioural cookies, fingerprinting, or third-party social tracking pixels on this site.

How we use it

Information you submit through the contact form is used solely to:

  • Reply to your enquiry, usually within one business day;
  • Scope, propose, deliver, and support engineering projects you engage us for;
  • Maintain a record of business communications for accounting, tax, and legal compliance.

We will never sell your information, share it with marketing partners, or use it to target you with advertising.

Where it goes

Contact form submissions are received by a server-side handler hosted on this domain (incendiosol.com) and emailed directly to contact@incendiosol.com. We do not pass form data through any third-party form-processing service.

Email correspondence is stored in our company email inbox and our internal project tracking systems. We do not use any other third-party data processors for the data you submit through this site.

How long we keep it

  • Active enquiries: retained while we are corresponding with you.
  • Won engagements: retained for the duration of the engagement plus 7 years (Australian tax/accounting record-keeping requirement).
  • Declined or unanswered enquiries: retained for up to 24 months in case you re-engage, then deleted.
  • Server logs: typically rotated within 30 days by our hosting provider.

Cookies

This site does not set its own cookies. The Google Fonts API loads typography files but does not set cookies on the fonts.googleapis.com CSS endpoint. If we add analytics or other tools in the future, we will update this policy and add a consent banner where required.

Your rights

Under the Australian Privacy Act and equivalent international frameworks (GDPR, CCPA), you have the right to:

  • Access the personal information we hold about you;
  • Correct information that is inaccurate or out of date;
  • Request deletion of your information, subject to record-keeping obligations;
  • Withdraw consent for any optional processing;
  • Lodge a complaint with the Office of the Australian Information Commissioner (OAIC) if you believe we've mishandled your information.

Security

This site is served over HTTPS. We restrict access to personal information to staff who need it to deliver services. We use modern cloud-collaboration platforms with two-factor authentication for our staff. We do not store credit card information; payment is handled by third-party invoicing tools when applicable.

Changes to this policy

We may update this policy as our practices evolve or as the law changes. The "Last updated" date at the top reflects the most recent revision. Material changes will be flagged on the home page for at least 30 days.
